Website Running Costs: Separate the Setup From the Bills
My standalone infrastructure setup starts at $600. It covers an agreed new server and website configuration. The domain, server rental, business email subscriptions, and applicable licenses are paid separately to their providers.
When the same setup is included in a complete website project, the $600 fee is not added again.
There is no single monthly bill that describes every WordPress website. Some costs belong to the site itself, some depend on the number of users or transactions, and others pay a person to maintain or develop it. This guide helps you build a budget without confusing those categories.
Make an Account and Renewal Inventory
For every service, record the account owner, what it does, the billing frequency, the renewal amount, and the person responsible for it. A first-year discount is not the same as the long-term cost.

Do not buy every category automatically. Some providers bundle several functions, and some websites do not need particular services. Equally, an item bundled into someone else’s account may need a new arrangement if the working relationship ends.
A Server Price Is Not a Managed Website Price
DigitalOcean lists Basic Droplets with 1 GiB at $6 per month, 2 GiB at $12, and 4 GiB at $24. These are published resource prices checked on September 6, 2026, not recommendations that any one of those configurations is sufficient for your site. DigitalOcean pricing.
The rental does not describe all the work of preparing and maintaining a WordPress system. Configuration, application updates, backups, security review, and recovery responsibility must still be assigned.
My usual approach is a separate server for the client, with the configuration chosen around the site and its management needs. The proposal identifies the provider and actual ongoing charges. Server choice should follow the workload and responsibility, not just the cheapest advertised price.
Standalone Setup — From $600
The starting scope covers one new server, one domain, and one WordPress website, including:
- Preparing the agreed server environment and site installation.
- Connecting the domain and DNS.
- Configuring the agreed Cloudflare setup.
- Setting up up to three business mailboxes.
- Configuring appropriate caching and the agreed backup process.
- Checking the relevant site and email connections and documenting access.
The proposed services and their bills are agreed before they are ordered. The setup fee pays for implementation; it does not include perpetual operation, all provider fees, or future maintenance.
Existing-site migrations, old mailbox imports, compromised servers, complex CRM connections, and unusual recovery work need separate scoping. A new standard setup and repairing an inherited system are different jobs.
Build a First-Year Budget
Use the following worksheet with actual quotes. Put annual costs in once and monthly costs in for the months you will use them.

For a simple calculation, a $12 monthly server costs $144 over twelve months. Adding a standalone $600 setup gives $744 for those two items only. That is not the complete cost of running a site: email, domain, licenses, storage, taxes, and maintenance may still apply.
This example deliberately names what it includes. A single “website costs $62 per month” figure would hide the distinction between a one-time setup and recurring rental.
What Changes in the Second Year?
Initial setup normally does not repeat unless new work is required. Introductory provider prices may end, renewals may fall due, and usage may change. Additional pages do not necessarily require a larger server, while increased workload or new functions might.
Review the services against actual use. Remove unused subscriptions only after checking what depends on them. Maintain access and recovery information even when billing is automatic.

Questions About Running Costs
Is WordPress itself the same thing as hosting?
No. The website software and the infrastructure on which it runs are different parts of the system. The package proposal should make clear which software, services, and implementation work are included.
Do I pay you for the server every month?
My preferred approach is for the client to control and pay the relevant provider accounts directly. Any different arrangement must be explicit. My work is scoped separately from provider charges.
Is Cloudflare the same as a hosting replacement?
Its role must be understood alongside the origin server and site configuration. In the infrastructure described here, configuring Cloudflare does not remove the server or its operating costs. The Cloudflare guide explains the setup.
Is email priced per website or per person?
The chosen provider’s plan determines the charge. For example, Zoho Mail distinguishes plans and user-based billing; the displayed terms should be checked for the actual purchase. A mailbox subscription and the work of configuring it are separate. Zoho Mail plans.
Can I stop your maintenance and keep the site?
Yes. You still need to pay the provider bills and assign responsibility for upkeep. The handover should make the accounts and dependencies clear.
Should I pay annually to save money?
Compare the renewal amount, commitment, cancellation terms, and actual need. A lower monthly equivalent does not mean you are making monthly payments or can stop without a remaining commitment.
Will my costs stay unchanged forever?
No provider’s future pricing or your future workload can be guaranteed. The budget should distinguish today’s quoted rates from future renewals and expansion.
